Combating delays from deliverables

Deliverables are very important aspects of any project. They help you to create a mental vision of the final output of the project to the client. This is the reason why they need to be handles with a lot of care. The process of coming up with deliverables should not be rushed but you have to take into consideration the fact that the project has to start. The scope of this procedure is to make sure that delivery delays from deliverables are avoided and to ensure that deliverables are delivered.



Procedure


A poor design is one of the worst things that you can ever have. It is a major cause of delays and should be done well as a way of managing delays. You have to ensure that you make a good design by seeking help from people who can be able to do this. You may have the concept on your mind but you are not able to bring it out through design on your own. You can present the idea to someone else who will be able to help you make this design come out as it should.



Having the required resources is also very important. It is a very good way of avoiding delays. When you are restricted with the resources that you have of you do not have the resources then coming up with deliveries will be next to impossible. It is going to cause you a lot of headache as well. You need to make sure that you have the resources for timely delivery of deliverables.


In the plan you need to make sure that the time for the project has been set well. Failure to have a good timeframe for the project will mean that you will delay and you will not be able to manage the delays. A good time frame plan for the project is very important in managing delays of delivery of the deliverables because you will have ample time to come up with the deliverables.


Not having the right estimates for the project is also a major cause of delays that you need to prevent as it will help you in avoiding delays. You have to make sure that you do your best to get the right estimates because this will save you the headache of having to rush into things. If the estimates are not right this will also mean that you will have to go back to the drawing table and this will waste time.


Te best way to make sure that delivery delays of deliverables are avoided is to make sure that you plan well. Failure to plan will lead to failure of the timely delivery of the deliverables. You need to make sure that the initial plan of the project is well done failure to which the project will not work as it should. When you follow this advice you can be sure that you will not even have to worry about running late when it comes to delivery of the deliverables.

What to do when your project slips


Step 1: Focus the team


A common trend is that in the middle of a project, the team start to feel like they are under pressure and they lose sight of the end goal. The excitement of “project startup” is long since past and any team politics have kicked in. It’s now that you need to recognize and reward staff for good performance. And it’s now that you need to focus the team by restating the objectives, providing incentives and boosting morale. You need to be their shining star when things get dark and gloomy.





Step 2: Prioritize


If there is simply too much to do in the timeframe you’ve been given, then prioritize all of your tasks. Identify the key deliverables that must be produced and then identify the tasks involved with producing them. It’s those tasks that you need to focus on now. Then get the priority list approved by your project sponsor, so that you have their buy in. Only with their acceptance, can you confirm that the tasks you’re working on, are the most important tasks required to deliver your solution.





Step 3: Reduce Scope


After you’ve focused the team and prioritized your work, then update your schedule. If you’re still likely to deliver late, then request approval from your Project Sponsor to leave the low priority tasks to after the project deadline. This will reduce the scope of your project. It will also boost your chances of delivering the high and medium priority tasks by the deadline date. Reducing scope is by far the best option to take, as the smaller the project scope, the lower the risk of project failure.





Step 4: Increase Resource


If your Project Sponsor will not extend the end date of the project or reduce the scope, then ask for more resource to help you complete it. With more resource (people, money, equipment and materials) you will be able to complete more tasks in parallel and boost your chances of success





Step 5: Communicate


Ok, so if you’ve tried all of the above and there is no hope—your project will be delivered late regardless of what you do. You then need to accept it and communicate this to as many project stakeholders as possible. Set their expectations as early as possible that you will be late. If they understand the reasons for late delivery and they know it’s coming, then it will be less of a shock when it happens. And if you are able to miraculously deliver it on time, then your team will be seen as hero’s!

My comment: I recommend to perform step number 4 (Increase the resources) before the step number 3 (Reduce the scope). However, in the construction projects to tell the client that you will reduce the scope because you cannot meet the project died lines won’t be acceptable solution. Alternatively, you can agree with the client to prioritize the project into 2 or more milestones. For example, rather than finishing the whole project you could recommend certain areas to be completed and perform soft opening. Then, the rest of the project.

Do not trust planning tools

We are all using planning tools such as primavera and Microsoft project. However, you should always remember that they are just tools, and the result comes from them need to be verified before considering it correct.

Modern planning tools could be very useful tools, and could be very harmful as well. In order to consider the outcome from the planning tools, we need to verify that it make sense. One professor who was teaching us during the college stage defined the engineer as a problem solver with high engineering sense. Although modern technology helped the project management field too much, but we should not allow it to reduce our engineering sense. I saw during my work a fatal mistakes in the time schedules, just because the creator did not check out the planning tool outcome.

Same concept on project management, especially in project planning and scheduling. I have been involved on projects where the planning engineers are doing tons of schedules and colored papers, but the construction team doing their own plans.


We need to tell others what we are doing and implement all the efforts to serve our project/organize.
