Avoiding death and accidents on site

Over the past years, it has not been new news to hear about worker deaths on construction sites. The sad part about all this is that these deaths could have been avoided if the project managers had some knowledge on ways of avoiding deaths while on site. The aim of this description is to make sure that the deaths on the site are reduced and if possible avoided completely.


Procedure


Prevention is always better than cure. Site workers need to have protective gear even as they are working. The protective gear will help the workers not get injured so much in the event of accidents. On site deaths can be very devastating to the workers and will have a very negative impact on your reputation and so you have to avoid this at all cost.



Scaffoldings are some of the most common causes of accidents at the site and can lead to death depending on the impact. Scaffolding should always be done with persons who are skilled and qualified in that area. The workers on the site should not be left to do the scaffolding. If death occurs due to poor scaffolding, coping death can be very hard for the workers as they will feel very guilty.


Worker deaths can also be avoided if the site is lit well. You have to make sure that the site workers are working in the proper lighting at all times to avoid slips and falls. It is very dangerous if the lighting is poor because accidents that could be avoided may be hard to avoid. The lighting should be just right. It should not be too bright neither should it be dim.


The site workers also need to make sure that they take measures to protect themselves from accidents. Some of the on site deaths can be avoided if the site workers also take responsibility for their safety. Behaviors such as using the phone while driving or driving aggressively are some of the common behaviors of the site workers that need to be avoid. The site workers also have to make sure that they do not work under the influence of drugs or alcohol.


The project managers have to make sure that they abode by the construction regulations at all times. These regulations are there to protect the workers from accidents and even death. Abiding by these regulations will help reduce and even prevent the site deaths. Death can also delay the project especially if it is due to negligence from the project managers.


Safety equipment needs to be in the right condition and they need to be regularly checked. This will help prevent site deaths by a large percentage. The site workers also need to be informed of how to use the safety equipments. This is very essential and should never be taken for granted. The project team does not need to thing about maters of coping death or death on the site if these simple things are followed.

DEALING WITH DISHONEST AND LAZY WORKERS

The prosperity of any project lies in the amount of input one puts in, it maybe capital, labor and time. These three factors are so crucial; in this section shall show various factors inhibiting maximum project labor input especially dishonesty and laziness among workers. Training workers process and procedure shall also be dealt with.


It’s said prevention is better than cure, before employing a worker check his or her backgrounds thoroughly this will help you avoid dishonest workers. Of course one or two may make without their earlier dishonesty/ laziness uncovered, due to his/her smartness.

Confront the dishonest worker after you have proven his dishonesty or laziness. The group must monitor the completion of the tasks and identify the outstanding work needed to finish a task before project delivery.This will make good use of the available time, which is precious.

They shouldn’t wait till the end of the project to start preparing. The managing delivery personnel must receive the workers worksheets on a weekly basis. This will make the process of project delivery quick and easy. Besides, the report will be accurate because no information will be left out.

case there is a request for assistance, change in personnel allocation and in case more time for the project delivery need to be extended due to delays and in case of an emergency.

There are times when no matter how much you try to avoid hazards they just seem to happen. This can be very frustrating especially of the hazards are caused by things that are under your control. Environmental hazards are these sorts of hazards that you most certainly cannot avoid but you can try and protect yourself from these hazards. First Aid and injuries on site

The site is not always the best place to be. Accidents are prone to happen and site injury is always quite common. Some of the project injuries can be avoided and if not first aid measures can be taken immediately so as to avoid deaths or worsening of the conditions. The scope of this description is to enlighten the project managers on some of the accidents that can occur on site and the possible ways on managing the injuries.


Procedure


Bruises and fractures can happen and will happen from time to time to the site members. These are not very dangerous accidents and can be managed with simple first aid on site measures. The person that has been bruised or had a fractured is to rest for some time. The place can then be iced and compressed then elevated. This will take just a few minutes and the person can get back to work in a short time.



Electrical injuries are also very common site injuries. These can be cause by poor installation or shocks as the installation is taking place. The first thing you need to do is to make sure that you don’t move the person or touch them. You then need to call the hospital if the shock was due to a high voltage and the person does not come to.


Dislocations and repetitive stress injuries are also injuries that can need to be given some first aid on site treatment when they occur so that they don’t become very severe. Repetitive stress injuries are mostly due to repeated actions. These can be avoided if the site workers change their motions from time to time.


Some site injuries are usually very simple to resolve but others require that you do some CPR to the injured person. CPR is very simple but you have to make sure that you call 911 even before you decide to do the procedure. You then need to check if the person is breathing or if they are having difficulties breathing. After you have done this you have to do some chest compressions and check on the worker who has been hurt. If this does not work you then have to do mouth to mouth resuscitation. Altitude sickness is an example of injury that may require such attention.


Cuts are scrapes are also common project injuries that can be happen as the workers are doing the construction. For these you need to make sure that you have a first aid kit with swabs ready for doing some first aid. The injured worker needs to first of all make sure that they stop what they are doing. They then need to look for a disinfectant and disinfect the cut or scrape. If the cut is too deep and done with a blunt and rusty thing then the person will need tetanus shot. You as the project manager need to make sure that you take the responsibility of paying the bills of the injured workers.

You have to make sure that the objectives are also well drafted and that the tasks that you come up with are in line with the tasks that you have outlined. This will help in making sure that task achievement is possible.


Motivating the workers is also a top best approach in achieving tasks. The workers need to be happy when they are working on the project if you want to get results. You can look for the different ways of making the workers motivated from time to time.


Proper project management that will lead to achieving the tasks also requires that you recognize that the workers require some rest. You should never strain the workers in any way so that you can achieve the tasks. This will lead to task achievement but the task achievement will not be done in the right manner. The overall end product of the project will be of a very poor quality. Always make sure that the working timeline is a reasonable one.

The goal of every successful employer in the construction business, besides making sure that the workers get to do their job under optimal conditions, is to create a better environment, which makes the workers’s effort more efficient and furthermore – profitable! Creating a rich and powerful environment in construction business is a growing concern of many employers, and they do have a lot of obstacles in their way. These are actually common issues that get in the way of productivity, and most commonly, the issues are closely related to the employer – employee relations, poor safety measures, failure to adapt to more advanced methods and tehniques or increasingly low salaries. Construction efficiency is what makes the business thrive, without it, hardly anything can be done properly. For example, if a worker hasn’t been provided with functional equipment and he suffers an injury as a consequence, he will become increasingly stressed out at his workplace.

Starting up a project

Starting a project is one of the hardest things to do if you do not have the right information or lack the experience. It needs one to have good project management skills for it to be a success. The start of the project will predict the progress and the end of the project and so you have to make sure that your start is well done. This procedure aims to help you start up your project smoothly and proceed with the project with fewer frustrations.

Every project needs to have a plan. The plan has to entail how the project will be carried out as well at the resources that are required for the project to be carried out. You need to have a date when the project will start and when the project will end in this plan as well. The plan has to be very comprehensive detailing the roles of the people who are going to be involved in the project. It needs to outline the project management team members’ roles and what they are expected to earn as well. The budget in the plan needs to be very well done and stated in the plan.

Planning a project

Planning a project can be very hard for the first time project planners. It can be frustrating especially if you are unaware of where you are supposed to start the planning. If it is your first time doing project planning, there are certain things that you need to bear in mind that will help you make the project a success. The scope of this description is to help the first time project planners know exactly what they are supposed to do when planning projects for them to become a success.


Description


A project needs to have a need. If there is no need then you are just wasting your time planning the project. You need to make sure that the need is well defined in the plan of the project. The need for the project is like the window of opportunity that will help in making the project a success.



Gather as much information as you can about the project. Project planning needs to be holistic and so you need to do some research as you are planning the project. You need to know what you are getting yourself into and have all the information that you need to back up the information that you have.


The design of the project needs to be well done. A good design is very important as it helps people know exactly what you aim to achieve. It will help in creating a mental picture in the people who are going to be involved in the planning process and this will help fasten the planning process. It is also a good way of ensuring that you are able to meet the project deadline.


After you have come up with the design, you need to build a prototype. This will help you look at the practicality of the project. It will also help you get a better picture of the design. It is a good way of ensuring that any risks that are anticipated in the project are averted even before the project is started.


Once you have found risks or problems in the design, you need to go back to the drawing table and make another design that is without problems. There is no need to rush into starting the project so you can take your time as you come up with the final design. This however should be done bearing in mind the project deadline so you should not take too much time doing the redesign.


When everything is completed, you now need to make a presentation of the results. By following these processes, you can be sure that the results that you are preventing are valid and the project is something that can be implemented. Managing troublesome locals

 


While you are working on a construction project, you are bound to have the neighbors and the people living around the construction coming to find out what is going on. Some will just look and go; others will want to stroll around the construction while others will mess with your equipment. This description aims to help you know the best way to deal with these troublesome locals so that you can be able to do your work in one peace.


Description


The place that you are working on can be enclosed. You need to build and enclosure for the construction that you are working on. This will not only help you in managing locals’ entry and exit from the site, it will also help you in protecting the passersby from health hazards. You can use second hand material for this so that you can save.



Putting a sign post on the enclosure is also a good idea. People will most definitely be curious to know what is going on in the site. So as to save them the time of having to come in and ask too many questions, you can simply put up a post for them. The post can have a picture of the construction that is being done and also some information about the engineers. It is also a good way of removing doubts from people who have suspicious ideas about the construction.


Troublesome locals can also be managed by making sure that people working in the construction site have some form of identification. This will help to restrict the people entering the site as only those who are working in the site will get entry to the site. You can ensure this by placing a guard at the entrance of the enclosed site area that will be looking at the identification of the people getting into the premises.


Managing locals can also be made easy by you are the project manager making sure that you abode by the society norms. If the locals feel that you are not abiding by their norms, they will give you a hard time but if they don’t feel like so then you will have a very easy time with them. So you have to make sure that you have done some background check on them and are aware of what they do not approve of.


Informing the local authorities is also very important. You need to make the local authorities aware of what you are doing. This will make your work easier because you will always have the support of the local authorities. It will also be very beneficial to inform the local authorities what you are doing because when people go to report negative things that are not true about the projects then you are you are going to be on the safe side.


Treating people with respect is very important. No matter how the locals behave you have to make sure that you treat them with respect.

Supervision and monitoring project

For the success of any project, you need to make sure that there is a monitoring and supervision system in place. This is important because it is going to assist you track the progress of the project and make any corrections to the project if need be. The scope of this procedure is to assist you develop a good project monitoring system that will be effective in following up the project and ensuring that it is a success.


Procedure


Making sure that you have a good plan is very important when it comes to monitoring the project. You can develop a desk supervision mechanism where you will be assessing the project from time to time right from the beginning to the end of the construction project. You need to write down the steps that you are going to use as well as the progress of the construction as you are doing the monitoring.



At the beginning of the project, there are certain things that you need to look at. The practicality of the work is one of these things. You need to look at whether or not the work is feasible and if you have all the resources that you will need in the execution of the work. This means that at this stage, what you need to focus on is the probability of the work being done. There is also need to assess the possible risks that you may encounter and consider if the project will be worth the risks or ways of averting these possible risks.


Once you are done with the initial supervision and you have seen that the project will be able to start without too many issues, you then need to establish a monitoring system for the execution stage. It is important that throughout the project you continuously look at the methodology that you had initially come up with in the planning phase paying close attention to the possible risks that you might encounter and coming up with ways of managing these risks. This should always be at the back of your mind even as you go on with your project management activities.


Once you are done with the initial and the execution phases without any major problems and the project has come to an end, you also have to make sure that there is monitoring here. You need to remember that project management simply does not end here. You have to look and make sure that everything is in order just as it had initially been planned and that everything is good to go. This will help you know whether there is anything else that needs to be done and also help you have the confidence that all is well.


When doing the monitoring, you should never rush into the matter. You need to make sure that all of your steps are very well calculated and the monitoring is done in an effective manner. This will help you get the best out of the monitoring. You can decide to do it yourself or seek the help of an external party.

How to Use Filter Option to Prepare Look Ahead Schedule

Before proceeding further with the FILTER option, we will look into LOOK AHEAD SCHEDULE which is a common report required in planning.


LOOK AHEAD SCHEDULE is the list of activities in a schedule which will take place in the near future say one week, two weeks, one month or so. The time period varies from project to project and cleint to client. But the idea in creating look ahead schedule is same whatever be the time contraint.


Let’s understand the conditions that should be considered while preparing a 2 week look ahead schedule one by one.


  1. Activity shouldn’t be completed – Normally, completed activities are not shown on the look ahead schedule since it has less significance in forecast.

  2. Start date of the activity should be within the range of 2 weeks from the Data date. (Data date is the current date or the last updated date of the schedule)

  3. Finish date of the activity should be within the range of 2 weeks from the Data date.

  4. Activity should be in progress.


Please go through the above conditions once again before we proceed how to enter them in Primavera P6.


If look into the below slide you can see there are some activities which are 100% completed, some of them 0% and some other are in progress.



Now let’ s apply the look ahead conditions which were mentioned above.



Step 1 – Go to filter option and click on ‘ NEW’ tab


Step 2 – Name the filter. In this case, let’s put it 2 week look ahead. Make sure that the parameter (which is highlighted in blue in the below slide) be ‘ All of the following’


Step 3 – Select ‘Activity status’ in the ‘parameter’ column, ‘is not equal to’ in the ‘is’ column, ‘Completed’ in the ‘Value’ column. Now we have completed the first condition ie activity shouldn’t be a completed one



Step 4 – Click on ‘ADD’ tab and this time give ‘Any of the following’ in the ‘Parameter’ column. Click on ‘ADD’ tab again and enter the other conditions also. Select ‘Start’ & ‘is within the range of’ in the ‘Parameter’ and ‘ Is’ column respectively and type ‘DD-1W’ and ‘DD+2W’ in the ‘Value’ and ‘High Value’ columns. Here DD stands for Data Date and 1W stands for 1 Week; which means we are taking the selecting the activities whose start dates are in the range of 1 week behind the Data Date and 2 weeks ahead of Data Date.


Click again on ‘ADD’ tab and provide the following conditions.


  1. ‘Finish’ in ‘Parameter’ column , ‘ is within range of’ in ‘is’ column, ‘DD-1W’ in ‘Value column’ & ‘DD+2W’ in ‘ High Value’ column.

  2. ‘Activity Status’ in ‘Parameter’ column, ‘equals’ in ‘Is’ column, ‘In progress’ in Value column.

Hope you would be thinking why we gave ‘Any of the following’ condition here. The reason is, if any of the activity whose start date or finish date is within the range of DD-1W and DD+2W will fall into our look ahead schedule.



Step 5 – Click ‘OK’ tab and see the new filter has been made as 2 week look ahead and it is marked.



Step 6 – Click ‘Apply’ tab. Now you can see that the activities which were 100% completed have been removed and all the activities listed are within the range of 2 weeks time. Please note the activity ‘ Multipurpose hall’ is still in the list since it is not yet completed even though the start date was 2nd July 2013.

It is very important for one to always make sure that they are managing stage boundaries very well at each stage. This is because in doing so you are going to keep track of the project and know whether or not there is need to make any changes to the project. The scope of this description is to help project managers get the best out of the project by giving tips on how to manage the different project stages.


Procedure


There is need to review the stages that you are in each and every time. While doing the review you have to look at the need for the project to proceed to the next level. You need to make sure that the project is going on as planned before proceeding to the next level. Look at the set objectives and whether or not they are processes that are taking place re geared towards achieving these objectives. You need to be able to establish very clear project boundaries by making sure that you do not proceed to the next stage until you are sure that everything is going on as planned in that stage that you are in.



Preparation for the next stage needs to be done even before the stage is started but in doing so you have to make sure that you are not mixing it up with the current stage that you are in. This is something that project managers need to bear in mind while preparing for the next stage. Project stages can be very confusing if they are mixed up and this can further delay the project process completion as had been initially planned.


While in a specific stage of the project, there is need to learn from that stage. You should not just move on to the next stage without making sure that you have learned something. This information will help you in the other stages that you are proceeding to. Managing project boundaries does not mean that you forget the good or even the bad things that have occurred in a particular stage. You can learn what to do and even what not to do as you are proceeding on to the different stages.


You need to bear in that the focus of each and every project is to make sure that there will be overall positive benefits of the project. You have to know that if a particular project stage is not working well the overall project can become a failure. So you have to be very careful at each and every stage of the project.


The success and the failure of the different stages will depend on your project management. You need to make sure that you manage each and every stage very well. You also need to prepare very well for each and every stage that you are about to proceed. In doing so you can be sure that the project will run smoothly and be completed at the right time.

The terms “activity” and “task” have been used interchangeably among project managers and project management software packages. Some think of activities being made up of tasks, others say that tasks are made up of activities, and still others use one term to represent both concepts. In this book, I refer to higher-level work as activities. An activity is composed of two or more tasks. When the tasks that make up an activity are complete, the activity is complete.

Uses for the WBS


The WBS has four uses: as a thought-process tool, an architectural-design tool, a planning tool, and a project-status-reporting tool.

WARNING Do not build the WBS by walking around the workplace or e-mail space and asking participants to complete their part of the WBS. It may


seem like a faster way to generate the WBS and it is much easier than conducting the JPPS, but it is a ticket to failure. You need several pairs of eyes looking


at the WBS and critiquing it for completeness.

Six Criteria to Test for Completeness in the WBS


Developing the WBS is the most critical part of the JPPS. If you do this part right, the rest is comparatively easy. How do you know that you’ve done this


right? Each activity must possess the following six characteristics in order for the WBS to be deemed to be complete — that is, completely decomposed. When


an activity has reached that status, it changes from an activity to a task. The six characteristics that an activity must possess to be called a task are as follows:


  • Status and completion are measurable.

  • The activity is bounded.

  • The activity has a deliverable.

  • Time and cost are easily estimated.

  • Activity duration is within acceptable limits.

  • Work assignments are independent.

The three general approaches to building the WBS are as follows:


Noun-type approaches — These approaches define the deliverables of the project work in terms of the components (physical or functional).


These are the requirements that populate the RBS. This approach is the one currently recommended by PMI.


Verb-type approaches — These approaches define the deliverable of the project work in terms of the actions that must be done to produce that


deliverable. Verb-type approaches include the design-build-test-implement and project objectives approaches. This approach was recommended by


PMI prior to the current release of PMBOK.


Organizational approaches — These approaches define the deliverable of the project work in terms of the organizational units that will work on


the project. This type of approach includes the department, process, and geographic location approaches.

Estimation is the one area where most project teams have trouble. For one thing, there is no consistency. One person might be optimistic, another pessimistic,


and you won’t know which unless you have had prior substantiating evidence of one or the other.

The duration of a project is the elapsed time in business working days, not including weekends, holidays, or other non-work days.


Work effort is labor required to complete a task. That labor can be consecutive or nonconsecutive hours.

NOTE When estimating task duration, you have a choice to make: Do you want to estimate hours of billable labor to complete the task, or do you want to


estimate the clock time required to complete the task? You will probably want to do both. The labor hours are needed in order to bill the client. The elapsed


clock time is needed to estimate the project completion date. Some project managers will estimate labor and convert it to duration by dividing labor time


by an established efficiency factor, typically ranging from 0.6 to 0.75.


 The duration of a task is influenced by the amount of resources scheduled to work on it.

The crashpoint is the point where adding more resources will increase task duration.


 A second consideration for the project manager is the amount of reduction in duration that results from adding resources. The relationship is not linear.


Consider the chair example again.


 By adding the nth person to a task, you create the need for n more communication links. Who is going to do what? How can the work of several people be coordinated?

For example, painting a house is a partition able task. Rooms can be done by different painters, and even each wall can be done


by a different painters. The point of diminishing returns is not an issue here. Conversely, the task of writing a computer program may not be partition able at


all. Adding a second programmer creates all kinds of work that wasn’t present with a single programmer — for example, choosing a language and/or naming


conventions to use, integration testing, and so on.


 Variation in Task Duration


Because you cannot know what factors will be operative when work is underway on a task, you cannot know exactly how long it will take. There will, of course, be varying estimates with varying precision for each task. One of your goals in estimating task duration is to define the task to a level of granularity such that your estimates have a narrow variance — that is, the estimate is as good as you can get it at the planning stages of the project.


 Varying skill levels Your strategy is to estimate task duration based on using people of average skills assigned to work on the task. In actuality, this may not happen. You may get a higher- or lower-skilled person assigned to the task, causing the actual duration to vary from planned duration. These varying skill levels will be both a help and a hindrance to you.


Unexpected events — Murphy’s Law is lurking around every bend in the road and will surely make his presence known, but in what way and at what time you do not know. Random acts of nature, vendor delays, incorrect shipments of materials, traffic jams, power failures, and sabotage are but a few of the possibilities.


Efficiency of worker’s time — Every time a worker is interrupted, it takes additional time to get back to the level of productivity attained prior to the interruption. You cannot control the frequency or time of interruptions, but you do know that they will happen. As to their effect on staff productivity, you can only guess. Some will be more affected than others.


Mistakes and misunderstandings — Despite all of your efforts to clearly and concisely describe each task that is to be performed, you will most


likely miss a few. This will take its toll in rework or scrapping semi completed work.

Common cause variation — A task’s duration will vary simply because duration is a random variable. The process has a natural variation, and there is nothing you do can to cause a favorable change in that variation. It is there and must be accepted.

Applying the Delphi Technique


The Delphi technique can produce good estimates in the absence of expert advice. This is a group technique that extracts and summarizes the knowledge of the group to arrive at an estimate. After the group is briefed on the project and the nature of the task, each individual in the group is asked to make his or her best guess of the task duration. The results are tabulated and presented to the group in a histogram labeled First Pass, as shown in Figure 5-9. Participants whose estimates fall in the outer quartiles are asked to share the reason for their guess. After listening to the arguments, each group member is asked to guess again. The results are presented as a histogram labeled Second Pass, and again the outer quartile estimates are defended. A third guess is made, and the histogram plotted is labeled Third Pass. Final adjustments are allowed. The average of the third guess is used as the group’s estimate. Even though the technique seems rather simplistic, it has been shown to be effective in the absence of expert advice.

Applying the Three-Point Technique


Task duration is a random variable. If it were possible to repeat the task several times under identical circumstances, duration times would vary. That variation may be tightly grouped around a central value, or it might be widely dispersed.


Optimistic — The optimistic time is defined as the shortest duration one has experienced or might expect to experience given that everything happens as expected.


Pessimistic — The pessimistic time is that duration that one would experience (or has experienced) if everything that could go wrong did go wrong, yet the task was completed.


Most likely — The most likely time is that time that they usually experience.

 Applying the Wide-Band Delphi Technique


Combining the Delphi and three-point methods results in the wide-band Delphi technique. It involves a panel, as in the Delphi method. In place of a single estimate, the panel members are asked, at each iteration, to give their optimistic, pessimistic, and most likely estimates for the duration of the chosen task. The results are compiled, and any extreme estimates are removed. Averages are computed for each of the three estimates, and the averages are used as the optimistic, pessimistic, and most likely estimates of task duration.
